The Starting Point: Too Many Inquiries, Too Little Time

The agency with five staff members in the Rhine-Ruhr metropolitan area received daily inquiries through ImmobilienScout24, Immowelt, and their own website. The core problem: inquiries arrived unstructured, at varying times, and had to be manually reviewed, evaluated, and answered.

The problem: Between receiving the inquiry and the first response, an average of 3 to 6 hours elapsed. During this time, many prospects had already inquired with the next agent – who had already responded.

The Solution: A Five-Stage n8n Automation Flow

Together with Lyron, a complete lead-to-viewing workflow was built in n8n. It consists of five sequential steps:

Step 1 – Lead Capture Across All Channels

Inquiries from ImmobilienScout24, Immowelt, and the agency's own contact form are funneled into a central n8n flow via webhooks. Regardless of which channel the prospect uses – the workflow starts immediately and automatically.

Step 2 – AI-Powered Lead Qualification

A language model analyzes the text of the inquiry. It evaluates: Is this a buyer or a tenant? What price range is apparent? Are there specific move-in dates or signals of high purchase intent? The result is a lead score from 1–10 that controls further processing.

Step 3 – Automatic WhatsApp Follow-Up (Within 90 Seconds)

High-priority leads (score 7–10) receive a personalized WhatsApp message within 90 seconds – with property information, a viewing link, and a brief introduction from the responsible agent. Low-priority leads automatically receive a structured email and are added to a follow-up list.

Step 4 – Automatic Appointment Coordination

Via a Calendly-style booking link, the prospect can directly select a viewing time – synchronized in real time with the responsible agent's Google Calendar. No more email back-and-forth. No double bookings.

Step 5 – CRM Update and Escalation

All data from the inquiry, lead score, conversation history, and booked appointment are automatically transferred to the CRM. For leads with a score of 9–10, the agent also receives a push notification – for immediate personal contact.

The technical stack:

n8n (Self-Hosted on Hetzner VPS), ImmobilienScout24 webhook, Immowelt API, WhatsApp Business Cloud API, OpenAI GPT-4o Mini, Google Calendar, HubSpot CRM, SMTP for email delivery.

Eight weeks after go-live, the first key metrics were evaluated. The results spoke for themselves:
