Automate supplier onboarding and vendor-master creation
New suppliers receive one clear intake for master data and supporting documents. Procurement, the business team and finance review only the points they own; the record is prepared in the authoritative system after approval.
A reliable supplier record must exist before the first order
Supplier data is often created in fragments: the business team names a contact, procurement adds terms, finance requests banking and tax details, and one document remains in an email attachment. Yet an incomplete vendor record may already appear in the ERP.
The real issue is not the form but ownership of every field. A changed bank account needs a different validation route from a new shipping address. A questionnaire can be complete while procurement or the responsible business role has not approved the supplier.
The onboarding workflow collects information once, validates completion and potential duplicates, and routes business questions to named roles. It documents status and prepares master-data creation without making the supplier-selection or legal decision.
Use cases
We start with the most frequent, clearly bounded case. Further variants can then reuse the same validation and handoff rules.
New standard suppliers
Company, contact, payment and ordering data are captured completely through one consistent intake.
Subcontractors and service providers
Additional evidence and ownership defined by the business are assigned to the appropriate supplier type.
International suppliers
Country-specific fields, currencies and communication routes are represented as a distinct review path.
Sensitive master-data changes
Bank-account and payee changes follow a separate route from ordinary contact updates and require stronger review.
Illustrative example: a supplier file moving towards approval
The following example is illustrative and does not describe a real supplier or customer case. Required checks and evidence must be defined by the individual business.
Invitation sent
Procurement sends a secure link to the agreed supplier form.
Details submitted
Company, contact, payment and ordering data plus the requested attachments are available in one file.
Duplicates reviewed
A similar company name is found, but the different address indicates a separate record.
Roles decide
Procurement, the business team and finance complete separate review items and record their decisions.
Creation prepared
The approved record is handed to the ERP or accounting system with the file ID and review status.

From business need to an approved supplier file
-
Start onboarding
An approved need or authorised role selects the appropriate supplier type and required data scope.
-
Collect data and documents
The supplier or internal owner submits required fields and attachments through a controlled intake.
-
Validate completion and duplicates
Formats, required details, existing vendors and sensitive changes are flagged using documented rules.
-
Complete business approvals
Procurement, finance, the business team and other named roles see only their assigned review items and exceptions.
-
Hand over master data
After complete approval, the data is prepared in the ERP or accounting system with its sources and status.
What changes for procurement and finance
Today
- Supplier data is collected across several emails and files.
- Nobody can see which detail is missing or which role must review next.
- Duplicates often appear only when an order or invoice is processed.
- Sensitive bank changes use the same channel as ordinary contact updates.
- ERP creation does not automatically retain the preceding decision trail.
With the controlled workflow
- Every supplier file has required fields, attachments, owners and one shared status.
- Questions refer to a specific missing or conflicting item.
- Existing suppliers and similar records are checked before a new record is created.
- Sensitive changes receive a separate review and approval path.
- The master-data handoff contains sources, approvals and the supplier-file ID.
Which decisions remain with people
Complete data does not mean a supplier is suitable or approved. The workflow structures evidence and decisions but does not replace them.
- Supplier selection, negotiation and commercial assessment remain with procurement and the responsible business team.
- Legal, tax or sanctions-related checks use only approved sources and authorised roles.
- Bank-detail changes are not accepted solely because a message has been received.
- Unusual company structures, different payees and conflicts of interest are escalated.

A strong fit when …
Documents, amounts and approvals follow explicit rules; exceptions must remain visible instead of being decided silently.
- You handle recurring supplier onboardings using repeatable rules.
- The intake, target system and accountable business role can be named clearly.
- Exceptions are allowed to remain visible and move to people deliberately.
Deliberate automation boundary
Supplier selection, negotiation, legal and tax assessment, and sensitive master-data approval remain with authorised business roles.
